Dear Data Champions,
We are so excited to (re) introduce you to Data Wall, your potential new home for reports. Below is a list of questions we know at least some of you have, along with some that we anticipate. Please use this document as a resource to figure out if Data Wall is right for you and your stakeholders. If you’re excited about Data Wall and would like to turn it on, or if you have more questions, please contact your impact manager. If Data Wall isn’t for you, we would love to hear your thoughts, too, so that we know how to keep improving.
DATA WALL PRODUCT FEATURES
What is Data Wall? Data Wall is your organization’s online home for reports built on the Schoolzilla platform, where your stakeholders can quickly and easily find the data they need most to make a difference for their students. Technically speaking, it’s a web interface for Tableau that offers a more visual, more relevant, and more navigable experience than Tableau Server.
How do I access Data Wall? You and other members of your organization will be able to access Data Wall by simply logging in to www.schoolzilla.org. Once we’ve enabled Data Wall for you, all users will be taken there immediately when they log in!
What are Data Wall’s primary features? What problems does it solve? Tableau Server can be difficult to navigate. This barrier can make the difference between a successful rollout and an unsuccessful one. Data Wall’s intuitive, visual interface makes for a much better experience for teachers and school leaders, as do its core features:
a) Featured Reports: Data Champions can mark certain reports as “featured” for their organization. These reports show up at the top of every user’s data wall.
*b) Favorite Reports: Any user can “favorite” the reports they find most useful so that they can find them again easily.
c) Collections: Data Champions can group reports together as collections so that teachers, school leaders, and administrators can easily find reports intended for specific purposes.
Example: Add reports to collection
d) Report Descriptions: Data Champions can add descriptions to their reports, including out-of-the-box reports from Schoolzilla.
How much will Data Wall cost? Data Wall is free of charge for all Schoolzilla customers! We know that you need to provide an easy, intuitive way for teachers and school leaders to view reports if you want data to drive change in your school system. Since driving change with data is what we’re all about, it’s the least we could do!
Will I have to redo my organization’s permissions? No! Data Wall relies on the permissions that you set in Tableau to determine which reports a given person can see. That means your existing groups and projects in Tableau can stay the way they are, and you can organize your reports using the features listed under question #3 above.
Will switching to Data Wall impact my existing reports? Switching to Data Wall won’t affect your existing reports at all. Any Tableau report, created by Schoolzilla or by anyone else, can live on Data Wall. Since users will only see the reports that you give them permission to see in Tableau, you don’t have to worry about them seeing any reports they shouldn’t.
Does Data Wall work with single sign on (SSO)? Yes it does! You can add a link to www.schoolzilla.org in your SSO portal and it will take users straight to Data Wall.
What if I implement Data Wall then decide I don’t like it? We’ll be sad, but we can turn it off for you right away. Turning off Data Wall won’t change anything on Tableau, so your stakeholders will still be able to see reports through other means.
When can I have Data Wall? We are going to begin rolling Data Wall out in the beginning of July. Contact your impact manager right away if you are interested!
What do I need to do to set up Data Wall?
a) Step 1: Tell your impact manager you are interested.
b) Step 2: Use the checklist at the bottom of this document to guide you through permissioning, tagging reports, creating www.schoolzilla.org accounts, and inviting new users. Don’t forget that your permissions and reports tags already rollover!
c) Step 3: We think it’s a important to plan thoughtfully for Data Wall rollout and consider the experience of your end users as the learn to navigate a new interface. The Impact Team is working on creating materials for Data Champions to leverage so that everyone doesn’t have to reinvent the wheel. Whether you create your our materials or leverage ours, we encourage you to send stakeholders information about:
i) The transition itself to Data Wall, along with rough timing for when end users (where applicable) should expect their email invitations to www.schoolzilla.org
ii) How to login
iii) What to expect to see when they first login
iv) How to use features like featured reports, favoriting, and search
d) Step 4: Roll out! Make sure folks know where to go if they have questions or need help.
Real talk–what could make this process hard?
a) Since your users have to log in to www.schoolzilla.org to see Data Wall, they’ll need to have accounts with us before they can access their reports. We bring in information about all of your teachers from your SIS, but if a teacher doesn’t have an email in your SIS, they won’t be able to set up their account, even though their name might be in the users list in Schoolzilla. There’s a report in your Command Center called Schoolzilla.org Users that will help you identify teachers who don’t have an email address in your SIS.
b) You’ll also have to remember to monitor your permissions in Tableau Server, even though your teachers and school leaders aren’t logging in there any more. One thing that will help with that is the “log in as” feature on the Share page. This feature lets you see exactly what a teacher or school leader will see when they go to Data Wall, so you can make sure you set their permissions correctly.
Ok–I did everything I could in advance. Now what? Circle back with your impact manager to let them know that you’re ready for Data Wall! We’ll get you scheduled for setup as soon as possible once you’re ready to go. Your Impact Manager will be able to give you more details.
Is there any way Data Wall can be released just to Data Champions before it’s available to all my end users? Unless your users already log into www.schoolzilla.org regularly, there won’t be any change for them when you turn on Data Wall. The experience of logging in to tableau.schoolzilla.org (including via SSO) will remain the same, as will the experience of logging in to Page (www.schoolzilla.org/rattracker). The best advice we can give as far as giving yourself the time to prepare before other users have access to Data Wall is to go through the step of adding users to www.schoolzilla.org after you have done all the permissioning, tagging, and organization you want.
What type of maintenance does Data Wall need?
a) Permissions Data Wall uses the permissions you set in Tableau to determine which reports your users can see when they log in. To keep these permissions up to date, you must hit the refresh button on Data Wall after you make changes. Check out this article for more information about refreshing Data Wall.
b) User accounts In most cases, new user accounts will be automatically created for teachers as they’re added to your SIS. You can add and remove school leader accounts on the Share page. In order to activate these accounts you’ll have to invite them.
